This policy explains what personal information Recruitmint ("we", "us") collects, why we collect it, who we share it with, how long we keep it, and the choices and rights you have. It covers:

Recruitmint is an international recruiting and search firm. We find and assess candidates for the companies we work with, and we run programs that connect people with paid work.
When you apply for a role through us, we handle your application for the hiring company. We decide how our own recruiting process and systems work, so we are responsible for your information while we hold it. Once we share your profile with a hiring company, that company is also responsible for how it uses your information.
If you use our contact form, we collect your name, email address, any other details you choose to include, and your message. The form sends your message to our team by email.
If you join our talent network ("join the bench") or submit a profile to our GovCon / OCONUS directory, we collect your name, email address, phone number, profile links, security clearance level (if you tell us), the regions you want to work in and the roles you are interested in. This goes into our recruiting database so we can contact you about suitable roles. Every email we send you about roles includes an unsubscribe link.
If you apply to the AI Trainers program, we collect your name, email address, phone number, country, city, the devices and equipment you have, your availability and any files you choose to upload. We send you emails to verify your email address and to follow up on your application. If you are accepted onto a project, the project terms you receive will explain how the recordings you make are used and who receives them.

We may also receive information about you from other sources, such as a referral from someone who knows you or a public professional profile, when we are recruiting for a role that may suit you.
For companies we work with, and people at those companies, we keep names, job titles, work contact details, our communications, the roles we are working on, placements, invoices and payment records.
This section explains how we assess applications made through our application pages.
What software does. We use software to compare your application with the requirements of the role. It:
The software combines these results into scores and short summaries. We use them to order the list of applications our recruiters review and to group applications for review. The software also helps our recruiters prepare interview questions.
What real people do. Real people on our recruiting team review every application. They see your full application alongside the scores, they can and do disagree with the software, and they make every decision: who is a fit, who is invited to interview, and who is shared with the hiring company. No one is told they are not a fit without a person reviewing their application first.
What we do not do. We do not use software to analyze your face, facial expressions, voice tone or emotions. Interview scoring uses the written transcript and the recruiter's notes only. Candidates do not see scores.
Required yes/no questions. Some roles have must-have requirements that we ask about as yes/no questions. If you answer "No" to one of them, the page tells you straight away that you do not meet that stated requirement. You can then either continue, so we can consider you for this and similar roles, or leave a note for the recruiter and finish. A recruiter still reviews your application either way.

Where we rely on legitimate interests, we have balanced them against your rights. You can object at any time (see section 12).
We do not use your information to make decisions about you that are based only on software. A person is involved in every decision.
We do not sell personal information for money. See section 8 for how the Meta Pixel on one page works and how to opt out of it.

We are based in the United States. Our recruiting system runs on our own servers in the United States, and several of our service providers are in the United States. If you are outside the United States, your information will be transferred to and stored in the United States, and a hiring company may be in another country.
Where the law of your country requires it (for example in the EU, the UK and Kosovo), we protect these transfers with recognized safeguards, such as the European Commission's standard contractual clauses (and the UK addendum to them), or rely on a decision that the destination country protects personal data adequately. You can ask us for more information about these safeguards.

Some laws require us to keep a basic record of hiring activity for longer (in some US states, up to four years). Where that applies, we keep only what the law requires, restrict access to it and use it only for that legal purpose. We also keep information longer if we need it for a legal claim.
We protect information with measures that suit the risk. Our website and application pages use encrypted connections. Our recruiting system sits behind Cloudflare's network protection, staff access requires a login, and only people who need access for their work have it. We limit the number of applications and uploads from any one network to stop abuse. No system is perfectly secure, so if we learn of a breach that affects you, we will tell you and the regulators when the law requires it.
Wherever you live, you can ask us to:
You can withdraw your application at any time from your application page. You can withdraw any consent you gave (for example, to stay on file or to be recorded) at any time. This does not affect what we did before you withdrew it.
How to ask. Email hello@recruitmint.io. We will reply within 30 days. If your request is complex, we may need more time where the law allows, and we will tell you. We may need to confirm your identity first. We will not treat you differently for using your rights.

If you live in California, you have the right to know what personal information we collect, use and disclose; to delete it; to correct it; to opt out of the sale or sharing of your personal information; to limit the use of sensitive personal information; and not to be treated differently for using these rights. Residents of some other US states have similar rights.
You can use an authorized agent to make a request for you. We may ask the agent for proof that you authorized them, and may ask you to confirm your identity.
Our services are for adults. We do not knowingly collect information from anyone under 18. If you think a child has given us information, email hello@recruitmint.io and we will delete it.
We will update this policy when our practices change. We will change the "Last updated" date at the top and, if the change is significant, we will tell people we are in contact with.
